The brief

Trent University has been expanding its science and research facilities and courses for several years, building new labs & purchasing millions of pounds of specialist equipment.

Finding a software solution to help them manage these new spaces and equipment was a high priority for the management team. Compliance was getting tougher; managing risk, equipment inventory, budgets, chemicals, and maintenance were currently done in separate manual processes and systems.

Our solution

Nottingham Trent has adopted both Smarthub and Smartlab to streamline the management of their facilities. Smarthub continues to support the efficient booking and oversight of equipment and spaces across the university, while Smartlab has been introduced within the science labs to provide a comprehensive solution for chemical and laboratory management.

Smartlab has replaced time-consuming manual processes with a fully digitised system, giving staff greater accuracy and control over their processes. The platform is now used to manage the lifecycle of chemicals, maintain compliance, and support laboratory operations. Key features in use include chemical inventory management, automated SDS uploading, CoSHH and risk assessment creation, equipment tracking, audit trails, bespoke workflow templates, approval processes, and maintenance scheduling.

By integrating Smartlab into their labs, Nottingham Trent has improved compliance, reduced administrative burden, and ensured their researchers can focus more time on science rather than paperwork.

What they said…

“Getting all of our School’s equipment onto one database, where everyone has access and can book time on equipment, allows us to maximize usage, prevents duplicates from being bought wastefully and gives our researchers access to much more equipment than they knew we had.”
